Dispatch
This is where the workflow begins and ends. The primary function of the Dispatcher is to (as the name suggests) dispatch service calls and schedule preventive maintenance. From the Dispatcher, your office personnel can monitor the status every job item in the life-cycle, field personnel activity, customer and equipment information and have access to a myriad of reporting features. At the end of the job item life-cycle (after the field personnel have posted the job item), your office personnel can review/edit/spell check all work description, materials used, time and mileage. After successful review, the item is promoted to invoicing.
eClient Web Portal
The highly customizable web portal (branded with your logo) for customers, asset managers, and office managers. The eClient offers a history of service and maintenance for locations and equipment over a searchable date range. The eClient also offers a variety of reports; all of which are optional based on your criteria. Through the Manager tool, you create a login and password and allowed locations for each eClient user. The eClient user can login and find recently Completed, Reviewed or Invoiced job information (depending on your approved settings) for their approved locations.
Internet/VPN
The secure connection between the various components and the Mobile FieldPro data center. All data communications are encrypted and require user id and password to maintain data confidentiality. Typically the internet service will be provided by your local ISP. Another option is to use a wireless provider’s data service for scenarios where the Dispatcher is on a laptop that requires in-the-field operation.
Communication Server
This is the engine behind the Mobile FieldPro workflow. The Comm Server ensures that all data and statuses are sent to the proper components ensuring all information is being synchronized properly. For example, if a new job is generate via the Dispatcher to field personnel who happen to be out of wireless coverage, the Comm Server will keep trying to ping the mobile device and once back in coverage, Comm Server will send the job info until an Uploaded status comes back from the mobile device. Once Uploaded, Comm Server synchronizes this information with the Dispatcher.
Database
The database is the central repository of all customer, location, equipment, historical work and status information. The advantage of a database is that all the information is available extremely fast when it is needed. For example, if a customer calls about a particular unit having trouble, all specs, warranty information and who last worked on it recently are just a few clicks away. Mobile FieldPro can maintain and manage your database at our highly available data center. We perform backups every 15 minutes and provide weekly performance tuning. You can choose to host your own database at your option.
Reports Server
A highly customizable component of the Enterprise Suite supplying a variety of reports to the various components. It’s a central repository of reports providing a view into collected data that can be called upon from the Dispatcher, the Manager or even the eClient. The Reports Server also provides your organization with automated reporting features. For example, if inventory falls below a minimum notification threshold, an automated report is generated and emailed to prescribed recipient(s). Other automated reports include past-due job items, daily completed jobs, weekly time sheet reports, etc...
Wireless Carrier
Mobile FieldPro was built to be carrier neutral. This means that no matter who your wireless provider is, you can work with Mobile FieldPro. The mobile devices used in the Enterprise Suite are sold by all major wireless carriers.
Cell Tower
Both your wireless carrier’s and Mobile FieldPro’s communication channel. Mobile FieldPro will periodically ping every mobile device in the field to test if it is in coverage. The Mobile FieldPro Communication Server provides this in and out-of-coverage information to the Dispatcher. If your field personnel are not in coverage, the Comm Server will keep trying to make connection. Once back in coverage, all queued job, time and status information will automatically start synchronization. The Comm Server maintains this so your office and field personnel can focus on their jobs and not on re-sending information due to spotty wireless coverage.
Remote PC
Similar to the Remote component, Remote PC is the desktop and laptop component for field personnel to receive service and maintenance items, record work performed, materials used, time associated with the work and mileage. Remote PC has the look and feel of the Dispatcher but it is scaled down with regard to functionality. Remote PC is a great option for sub-contractors or even field personnel that are stationed at a specific locations. The Remote PC component can be setup and installed via a web link and can be operated with either an ethernet or wireless connection.
Remote
The mobile device component for your field personnel to receive service and maintenance items, record work performed, materials used, time and mileage. When Remote receives a new service of maintenance item, it will send back an Uploaded status to the Dispatcher. So your office personnel can be confident the work information has been received. It will also send back a Viewed, Traveling, Working and Hold status as your field personnel take the job item through its life-cycle. After the job item is completed and all the information recorded and saved, your field personnel will simply Post the job item for review by your office personnel.
